This Privacy Policy explains how Call For Me LLC ("we","us","our") collects, uses, discloses, and safeguards personal information when you access or use our application, website, APIs, and related services (collectively, the "Service"). It applies to information we process directly and through trusted service providers acting on our instructions.

- Account & Profile: Name, email, and phone number.
- Operational / Scheduling Data: Appointment metadata you enter (dates, times, location names, call instructions), outcomes, and status updates.
- Communications & SMS Events: Opt‑in / opt‑out events, STOP/HELP/START keyword logs, delivery receipts, welcome confirmations. We store message bodies only to the extent required for delivery, logging, transcription, or troubleshooting, then may redact or minimize.
- Call & Transcription Data: Audio recordings (recording is technically required for transcript generation), AI‑generated transcripts, summaries, outcome annotations. Recordings may include voices of third parties you call; you are responsible for obtaining any legally required consent before initiating or continuing a call.
- Usage & Technical: IP address, device/browser type, pages viewed, timestamps, authentication and error logs, and limited cookies or local storage tokens used for session continuity and security.
- Support / Feedback: Messages or attachments you send to us for assistance or product input.
3. Sources of Information
We collect information directly from you, automatically from your device when you use the Service, and from service providers (e.g., telecommunications carriers, transcription engines) necessary to deliver features.
4. How We Use Information
- Deliver, maintain, and improve the Service (placing calls, generating transcripts, sending SMS reminders, tracking outcomes).
- Authenticate users, secure accounts, detect and prevent fraud or abuse.
- Provide customer support, respond to inquiries, and troubleshoot issues.
- Audit consent and comply with legal/telecom obligations (e.g., honoring STOP requests).
- Generate aggregate or de‑identified analytics to improve reliability and performance.
- Enforce Terms of Service and protect our rights, users, and the public.
We do not use personal information for unsolicited marketing SMS or sell your mobile number or opt‑in status.
5. Sharing & Disclosure
We disclose personal information only as needed:
- Service Providers / Processors: Cloud hosting, telecommunications, transcription/AI, analytics, email delivery—bound by contractual confidentiality and data protection obligations.
- Legal & Compliance: To comply with law, lawful requests, or enforce our Terms; to investigate security incidents or abuse.
- Business Transfers: In connection with a merger, acquisition, financing, or sale of assets (with continuation of protections).
- Aggregated or De‑identified Data: Non‑identifiable insights for reliability metrics and product improvement.
We do not sell personal information or provide it to third parties for their independent marketing.
6. Cookies & Tracking
We use strictly necessary and functional cookies / local storage tokens (e.g., session identifiers, CSRF or authentication tokens). We DO NOT use third‑party advertising trackers. Browser settings may allow you to block cookies; essential features may not function without them.
7. Data Retention
We retain personal information only as long as reasonably necessary to provide the Service, fulfill the purposes outlined here, comply with legal/regulatory/audit obligations, resolve disputes, and enforce agreements. Typical examples:
- Account data: retained while the account is active and for a limited period (e.g., 12–24 months) after closure for audit/security unless earlier deletion is requested and no legal basis requires retention.
- Consent & opt‑out logs: retained to demonstrate compliance (may be kept longer in hashed or minimal form).
- Call recordings & transcripts: retained under a default retention schedule (currently no end‑user configurable retention) and may be deleted or anonymized after expiration. If you require shorter retention, contact us before using the Service.
8. Security
We implement reasonable administrative, technical, and physical safeguards (encryption in transit, access controls, logging, least‑privilege). No system is perfectly secure; you are responsible for safeguarding your credentials and promptly notifying us of suspected compromise.
9. Your Choices & Rights
- Access / Update: View or correct certain profile data in account settings.
- SMS Preferences: Reply STOP to unsubscribe; START to re‑subscribe; adjust in settings where available.
- Recordings & Transcripts: There is presently no in‑product toggle to disable recording because audio capture is integral to generating transcripts. Do not place or continue a call through the Service unless you have (and maintain) any consent required under applicable law for all participants.
- Deletion / Closure: Request account deletion; some data may be retained as required for legal or security obligations.
- Opt‑Out of Arbitration (U.S.): See Terms Section 16 for the opt‑out process (affects dispute resolution, not ordinary processing).
10. Children's Privacy
The Service is not directed to children under 18. We do not knowingly collect personal information from children under 18. If you believe a child has provided data, contact us to request deletion.
11. United States Service Only
Call For Me LLC provides services exclusively to customers located within the United States. All data is stored and processed within the United States under U.S. law. The Service is not available to users outside the United States.
12. Changes to This Policy
We may update this Privacy Policy periodically. The "Last updated" date reflects the latest revision. Material changes will be highlighted (e.g., banner, in‑app notice, or email) where required by law. Continued use after changes constitutes acceptance.
